How to apply 2024

 

CALL FOR COLLABORATIVE RESERACH PROPOSALS (FY2024)

Research Institute for Synchrotron Radiation Science (HiSOR) calls for collaborative research proposals using synchrotron radiation in the vacuum ultraviolet and soft x-ray regions.

1. Proposal category and deadlines for submission

(1) Proposal category G (General proposal)

Proposals in category G are accepted twice a year and assigned beamtime for the Period A (beamtime from April 1, 2024 to March 31, 2025) and Period B (beamtime from November 1, 2024 to October 31, 2025). The submission deadlines are as follows:
Period A: January 8, 2024
Period B: June 30, 2024

The beamtime schedule will be planned, taking into account your preferences. As most of the allocatable beamtime will be filled by category G proposals, we advise to submit proposals to this category. Due to frequent overbooking of the undulator beamlines (BL-1, 9A, 9B), proposals will be ranked by academic significance and justification of the requirement on these beamlines, and the number of granted shifts may be reduced. If a proposal was not assigned beamtime or the allocated beamtime was insufficient to complete the experiment, resubmission of the proposal to the next period is possible.

*From the Period B in 2022, the beamtime allocation period according to this proposal has been expanded from half year to one year. However, as usual, we will not change the open call for proposals twice a year as shown above.

(2) Proposal category U (Urgent proposal)

After the deadline for the category G, we may accept a limited number of urgent proposals, which should have significant academic importance and urgency during the periods. The allocation of the category U beamtime is not as flexible as category G. For undulator beamlines, detailed descriptions are needed why the proposal should be done in the category U (please clearly describe significance, justification, and urgency). If the proposal was not assigned beamtime, resubmission of the proposal for the following period in the category G is possible.

2. Submission

Before submitting proposals, we would like to ask you to contact the in-house staff in charge of the beamline which you are interested in. If you already used these beamlines, please directly contact the in-house staffs before proposal submission. If you are new to HiSOR, please send an e-mail to the HiSOR user office (hisor(AT)hiroshima-u.ac.jp(*Please replace (AT) with @)), and ask for the in-house staff of the beamlines you are interested in.

Please select an appropriate form according to the period you would like to have your beamtime.
As we need original forms with signatures, we would like to as you to send the final proposal application by mail. To facilitate official procedures (especially for the category U), however, please send the electronic file by e-mail in advance, and mail the original later.

*From the Period B in 2022, we add in a part of “publications and status of the HiSOR activity reports related to your proposal numbers accepted within 3 years”. If you are applicable, please be sure to fill in this part.

AFTER APPROVAL

1. Before experiment

(1) Radiation work at HiSOR

In order to run synchrotron radiation experiment at HiSOR, you should be qualified as a radiation worker, and registered at our facility. Please prepare the following forms, referring to the examples.

If you have any questions concerning these forms, feel free to contact us. Please submit these forms to the HiSOR office by post preferably 1 month before your beamtime. If it is difficult to mail them in advance, please contact us via email. You may send a scanned file of these forms by e-mail first, and bring the originals with you during your visit to HiSOR for the beamtime.

(2) Internet at HiSOR

In order to use the internet connection at our facility, it is required to submit the following form to the HiSOR office.
Agreement concerning information security ( Word / Pdf )
Important Note: It is strictly forbidden to use any type of file-sharing software. If your computer runs such software, the use of the internet is not allowed.
If you have an eduroam account, you may connect to the hotspots which are provided throughout the campus.

(3) VISA

If you need to apply for a VISA in order to visit Japan, we can prepare necessary documents for the application process. If it is the case, please contact us at the earliest time after the approval of your proposal.

2. After experiment

(1) Brief report

Please submit the following report to the HiSOR office before the Monday following each week of your beamtime.

(2) Activity report

We annually publish the HiSOR Activity report. Please submit your Activity report using following template. The deadline will be announced by e-mail.
